1. Determine the number of rows needed to distribute between sources for each fiscal period:
• Two (2) fiscal year rows are generated in the distribution list for each budget period. If you do not have Off Campus expenses in the budget, begin by deleting the Off Campus rows from the list.
• Conversely, if this is an Off Campus rate budget, you may delete the On Campus rate rows,
• Or repurpose the rows instead of adding, if more rows are needed to split expenses to multiple sources per fiscal year.
2. Review the Unrecovered F&A by Period by clicking [View Summary]. The window displays the amount incurred per project period.
3. Prepare the distribution table for your entries:
To add a row: use the [+Add Unrecovered F&A] button to enter a new line in the list. If only one line is needed per budget period, begin the distribution by clicking in the row you wish to maintain.
To edit a fiscal year: click in the fiscal year field; enter a different period. Use this option to re-use existing rows within the list before adding additional rows, if desired.
To enter an Applicable Rate: click in the field to activate it; manually type in a numeric percentage value to reflect the rate. This entry will not perform any calculations but should match the rates used in your proposal.
To change the On Campus Yes/No flag: Click in the field and select the Yes or No option.
To enter a source account: click in the field to activate it; manually type in the information your institution uses to identify the responsible party for the expense. (a code, account, or name such as Department, PI, University, etc.)
To enter an amount: click in the field to activate it; type in the new value for this source. Note that if the amount is less than the total for the period, the difference will aggregate in the Total Unallocated field at the bottom of the list and must be allocated to clear the validation and mark the budget complete.
